Every organisation is dependent upon information for its survival. In order for managers to take action that will yield effective results, they need information that is accurate, timely, complete, concise, and relevant.

Its role is to support the key aspects of running an organization, such as communication, record-keeping, decision making, data analysis and more. Companies use this information to improve their business operations, make strategic decisions and gain a competitive edge.

Organizational roles are a method of providing service entitlements to person entities within the system. If person entities are assigned to an organizational role, managed resources available to the role then become available to the person entities in that role.

With that information we can find out what we do not know before and it will affect what we already know. Besides, we can make a right decision. Decisions are impossible without information and users are constantly seeking more and better information to support decision making.

It helps you to be organised, systematic, efficient and transparent. It also helps all people who should be able to access information to do so easily. It is always a pleasure when someone looks for something and is able to find it without difficulties. In our organisations we work in groups.

We file information so that we can find it easily. Finding information that is in the files is called retrieving information. Everyone who needs to use the files should be able to find information quickly and easily. This means that they must know the method of filing we use.
How often should you file documents in an organisation?
Keep documents that are waiting to be filed in trays, do not leave them lying about on desks or shelves. File documents away at least once a day, or if your organisation is very small you can do it once a week. Put new covers on old files which get a lot of use and have become worn or torn.

One of the most important reasons why we file is to keep document safe. It is therefore very important to make sure that all papers and files are kept in good condition.
